An enormous amount of time and effort has gone into planning the Michigan Energy Fair. A large amount of energy will be required to carry the event out as well, and that's where we need your help! The event needs an abundance of reliable and enthusiastic volunteers to help out with a number of tasks during the fair.

Assist in set-up and service of alcoholic beverages in the evening hours. Alcoholic beverages will include beer and wine. Assist in pouring of drinks and collecting of funds. Make change and keep an accurate inventory. Patrol grounds and assist in clearing of unused glasses and other refuse. Maintain due diligence as to intoxication level of attendees. Assist, as needed, with live entertainment in set-up and teardown. Provide service to members of musical groups. Assist in clean up at end of musical entertainment. Provide service help to Northern Delights in service of evening banquet.

Grounds Crew (back to top)
This task will involve making sure that the grounds always appear neat and orderly. Volunteers are needed to walk the grounds to make sure that all is in order, and that fair-goers are respecting the fairgrounds. Volunteers are also needed to make sure that the restroom facilities are clean and well-stocked. Please use the following information about grounds-keeping tasks to assist you in your duties.
Litter
Once per hour, volunteers are needed to walk the grounds with small trash bags to pick up litter. When this is done, the trash bags can be deposited at one of the several waste and recycling stations on the fairgrounds. If a fairgoer is spotted littering, please approach the person and let them know where the nearest waste and recycling station is, and ask them to use it in the future.
Restrooms
A stock of bathroom supplies will be maintained in the fair office, and the restrooms should be inspected hourly to make sure that they are stocked and clean. In the event that a restroom needs cleaning, cleaning supplies can also be found in the fair office. If one of the port-a-pottie units is approaching it’ capacity, please notify the volunteer coordinator immediately.
Security
A security volunteer should always be on hand to help monitor the entrance and make sure that all people coming in have fair passes. Security volunteers will also patrol the grounds, in a proscribed path to maintain order on the grounds. Volunteers will look for indications of tampering with outdoor exhibits or fairgrounds property. Security volunteer will also staff check-in points for evening entertainment, including area designated for alcohol consumption. Volunteers may also be assigned to other tasks, such as making sure that beer stays in the beer tent.

Kid’s Tent (back to top)
This task will involve assisting with the Energy Carnival, face painting, and craft in the Kid’s Tent. The Kid’s Tent activities will take place from 9:30 am – 4:30 pm on Saturday, June 28th . Please use the following information about the various activities to help you in your duties. Apart from the activities, we also need one or more vigilant guardians to make sure that children don’t wander off.
Energy Carnival
This carnival will feature games that children can play to learn more about energy and earn tickets to trade for prizes. The Energy Carnival will be under the direction of Connie Josvai, a teacher from Manistee’s Kennedy Elementary School. She will supervise her students, who will be running the carnival games. Connie will not need much help, but may call upon you for assistance for various tasks.
Face Painting
Simple face painting designs will be offered for children. Volunteers who are particularly artistic and steady-handed are needed for this task. Face painting should be done on the cheeks only, and all painting should be done at least must one inch away from a child’s eyes.
Craft
Children at the Fair will have the opportunity to construct a craft. Volunteers who are good at giving instructions and don’t mind getting messy are needed for this task. All supplies will be on hand in the Kid’s Tent.

Setup/Takedown (back to top)
Most of this task will be setting up tables and chairs in and around the exhibitor hall and in the various tents. Help will also be needed in setting up flags, picnic tables, partitions in the exhibit hall, etc. Please use following information about the different parts of the fairgrounds to assist you in your set up duties. The volunteer coordinator will assign you specific tasks. Upon completion of your task, please check in with the coordinator for instructions on what to do next.
Exhibitor Hall
-Each exhibitor booth receives two chairs and one table. This includes the automotive exhibitors. Tables and chairs should be left folded in the booth space.
Workshop Tents
-Each workshop tent receives 75 chairs and one table. The chairs should be placed as close to the front of the tent as possible.
-Room must be left at the front of the tent for the presenter, a screen, and the table. The table should be placed approx. 8’ from the wall of the tent.
Entertainment / Kid’s Tent
-The kid’s tent receives 120 chairs and 10 tables.

Workshop Facilitators (back to top)
This task will involve making sure that all workshops begin and end on time, and providing trouble-shooting assistance with A/V problems that might occur. Please use the following information about facilitating to assist you in your duties.
Timekeeping
- Workshops are expected to begin on the hour, and finish fifty minutes later. This fifty minute period is expected to include time for any question and answer dialogue that might occur as well. All presenters have been notified about the length of their sessions, and are expected to keep to their time limits.
- Workshop facilitators are expected to assist presenters in staying on time. Facilitators will be given brightly colored cards to alert presenters when they have 10 minutes and 5 minutes remaining, and when it is time to end. Please make sure that these cards catch the presenter’s attention at the proper time.
- If a presenter persists in talking after the time limit has been reached, facilitators should stand up and politely say “Unfortunately, that is all the time we have for this session, and we’ll need to end so that the next workshop can begin on time. Thank you.”
- Please take a moment before the beginning of each session and introduce yourself to the presenter as a workshop facilitator, and let them know you’ll be providing time cues.
- Because the workshops are scheduled tightly, it is critical that all workshops begin and end on time.
A/V Troubleshooting
The majority of the presenters will be using Microsoft PowerPoint during their workshops. If they are using PowerPoint, the computers that they are using will have their presentation loaded on them and saved to the desktop.
- When a workshop ends, please make sure that the presentation is closed, and assist the next presenter in opening up their presentation, which should be clearly visible to them on the desktop.
- If the presenter needs assistance opening their presentation, move the cursor to their presentation and double-click the mouse button to open the file. Some files may be large and take a moment to open.
- When the PowerPoint file is opened, select open the “Slide Show” menu, and click on the “View Show” command. When the presentation is switched to the slide show view, the presenter can then navigate the slides using the up and down arrows. If the file is large, or contains high-quality images, individual slides may take a moment to load.
- To get out of the slide show view, press the Escape button.
- When a presenter is finished with their workshop, close their presentation by clicking the X in the upper right hand corner. If a problem arises with a PowerPoint presentation that you cannot fix, please notify the volunteer coordinator immediately, and encourage the presenter to move on as best they can with their presentation while you get the problem fixed.

Check-In & Registration (back to top)
This task will involve making sure that everybody who is entering the fairgrounds or a specific event (dinner, music, etc) on the fairgrounds has done so legitimately. Detailed instructions on registration will be provided to volunteers prior to the Event.
Registration
Registrationtables will be divided between on-site registration and pre-registration.
Pre-Registration
Volunteers at the pre-registration table will be given a list with the names of all people who have pre-registered, and what they have registered for. Each pre-registered person will have an envelope with all of the tickets that they purchased online.
On-site Registration
We will accept cash, check, or charge for on-site registration. Please view the sheet titled “Ticket Prices” for a list of the various passes available and their costs.
Keep close watch over the cash box at all times, and make sure that it is open only when necessary.
Exhibitors/Sponsors/Speakers/Press
Exhibitors, sponsors, speakers and press receive complimentary tickets to the fair, and should be directed to the pre-registration table. Exhibitors and sponsors will receive weekend passes. Speakers will receive a pass for the day that they are speaking. Press representatives will receive a pass for the day(s) that they are covering.
If the person wishes to purchase additional tickets, send them to the on-site registration table.

Traffic Control (back to top)
Assist in collecting and recording monies collected at the gate. Assist in directing traffic to appropriate parking spaces. Organize traffic flow and maintain accurate count of available parking spaces in assigned lot. Close lot and prohibit traffic when applicable.
Please bring hat and sunglasses for this task. Plenty of water will be provided by GLREA.

Patrol local vendor area and assist as needed and requested. Provide help in staffing booths and selling of local vendor items. Assist in accurate record keeping and handling of money. More direction to be given by local vendor as needed.
